The bottom line
If you accept equipment deliveries—whether you're an HVAC contractor, installer, or facility manager—this checklist is for you. Use it before a Daikin condenser gets set on a pad, before a Numatic floor scrubber dryer gets pushed into a supply closet, and before someone skips the question about what kind of water for a humidifier is okay.
I'm a quality and brand compliance manager at an HVAC equipment distributor. I review every unit before it reaches customers—roughly 200 pieces a month. In 2024, I rejected about 7% of first deliveries because the box didn't match the order, the nameplate was wrong, or accessories were missing. This checklist came out of those rejections.
Five minutes of verification beats five days of correction.
How to use this checklist
Do this when equipment arrives, not after installation. If a unit is wrong after it's mounted, the return becomes a demolition project. At least, that's been my experience with both split systems and scrubber dryers. What I mean is: the receiving check is the cheapest step you'll ever do, and it's the easiest one to skip.
The 8-point receiving checklist
This is the order I use. It works for AC units, water dispensers, floor scrubbers, and humidifiers because they all have the same failure point: the gap between what you ordered and what arrived.
Step 1: Check the nameplate, not just the carton
From the outside, a receiving inspection looks like counting boxes. The reality is it verifies the exact model, serial number, refrigerant, voltage, and factory charge before you commit a crew to the install.
In Q2 2024, we ordered a batch of 60 Daikin 1.5 ton 5 star inverter split AC FTKF50TV units for a small hotel project. The carton labels all said FTKF50TV. When we opened the first three, the nameplates matched too, but the serial number range didn't match the bill of lading. It was a mixed pallet from the warehouse. We rejected the batch before any unit went to the roof. If we'd installed them first, the warranty registration would have been a mess.
Step 2: Confirm the refrigerant and pre-charge
Many current Daikin inverter split systems use R32 refrigerant. R32 is not R410A. If the spec calls for R32 and the label says R410A, stop. According to Daikin's installation manual for the FTKF50TV series, the refrigerant type affects your manifold, hoses, and charging procedure. A mismatch is not a minor field adjustment.
Also check whether the outdoor unit is pre-charged for a specific line set length. If the installation needs a longer line set, the charge may need to be topped off. That's a normal step, but it has to be in the plan.
Step 3: Inspect for shipping damage before moving anything
A dented condenser coil can cause a refrigerant leak that doesn't show until next summer. Check fins, cabinet, drain pan, and compressor mounts before the unit is lifted. Take photos if you see anything unusual.
For a Numatic floor scrubber dryer, check the squeegee, brushes, hose, and battery compartment. I had a brand-new scrubber dryer arrive with a damaged brush deck. It ran, but it left streaks on the floor. The vendor replaced it, but only because we documented it on the delivery receipt.
For a hot and cold water dispenser with ice maker, check the water tank, compressor area, and drip tray. A bent cooling line can turn into a slow leak after the unit is under a counter.
Step 4: Verify accessories against the packing list
Missing remote. Missing drain hose. Missing mounting template. Missing battery charger. These sound small, but any one of them causes a return visit. I've learned to open every box and list every accessory before signing the delivery note. It's boring. That's the point.
Numatic floor scrubber dryers sometimes ship the battery and charger separately. If you skip this step, you'll have a large paperweight for two days. Daikin split AC systems usually include a wireless controller and a mounting plate. Confirm both are in the box before scheduling your crew.
Step 5: Answer the water questions before connecting anything
What kind of water for a humidifier is one of those questions people postpone. Don't. For portable humidifiers, the U.S. EPA recommends distilled or demineralized water because it reduces mineral deposits and white dust. Tap water works, but it's harder on the wick and builds up scale over time.
For a whole-home humidifier, distilled water often isn't practical. In that case, follow the manufacturer's water quality limits and check the supply line. Some units need a specific inline filter or water treatment.
The same logic applies to a hot and cold water dispenser with ice maker. Check the minimum water pressure, inlet connection, and filter requirement before installation. If the building pressure is higher than the spec, you need a pressure-reducing valve. If the water is hard, the ice maker will slow down over time.
Step 6: Confirm electrical requirements and controls
The Daikin 1.5 ton 5 star inverter split AC FTKF50TV is an inverter unit. Inverter compressors handle voltage fluctuation better than old fixed-speed units, but they still need a dedicated circuit and the correct supply voltage. I'm not an electrician, so I don't give wiring advice. I check the nameplate and make sure the installer does too.
If the project includes a heat pump or ducted system, check thermostat compatibility. Some systems need a specific interface adapter. The cheapest thermostat you can buy is not always compatible.
Step 7: Verify local requirements for the install location
If you're installing a Daikin air conditioner in Kent WA, check the city and county requirements before setting the condenser. Kent follows the Washington State Energy Code, and outdoor unit placement can trigger setback, clearance, or permitting requirements. I'm not 100% sure of every current rule, and codes change often. Verify at the city's permit page before you schedule the lift.
Don't assume a neighbor's installation is code compliant. What worked for a house may not work for a commercial zone.
Step 8: Register serial numbers and file delivery photos
Warranty registration is a quality check, not paperwork. In 2023, we almost uploaded the wrong serial number list for 60 Daikin units. So glad I checked before submitting; it would have delayed warranty activation for an entire hotel project.
Take photos of the nameplate, any damage, and the final installed location. Store them with the startup report. If there's ever a warranty claim, you'll need evidence.
Common mistakes I still see
- Skipping the startup report. It documents pressures, temperatures, water quality, and final controls. If a unit fails later, this is your baseline.
- Filling a humidifier with the first available water. Wrong water can clog a pad, create white dust, and void the warranty. The question 'what kind of water for a humidifier' belongs on the pre-install checklist, not the startup morning.
- Signing a delivery note before opening a sample of the shipment. Once you sign, the assumption is that everything was fine.
The bottom line
This checklist isn't about being the quality police. I'd rather catch a cracked coil at delivery than hear about it in the middle of a heat wave. It's not glamorous, and it doesn't sell anything. But it's the cheapest insurance you'll buy this year.
This was accurate as of January 2025. Daikin's model lineup, refrigerant policies, and Kent's local requirements change. Verify current manual specs, nameplate data, and building department rules before you rely on any of it.
And if you remember one sentence: five minutes of verification beats five days of correction.
